Position Summary

The Service Administrator serves as the primary point of contact between customers and the Service Department, supporting the flow of work from scheduling through completion. This role works closely with customers, the Service Manager, Shop Foreman, and Service Technicians to schedule service, provide repair updates, maintain accurate service records, and promote preventative maintenance and equipment inspections. The ideal candidate is organized, customer-focused, and committed to delivering a positive service experience while helping keep the shop running efficiently.

Job Responsibilities

  • Create, manage, and close work orders from opening through invoicing.
  • Answer customer inquiries by phone, email, and in person, providing timely and professional customer service.
  • Maintain accurate customer, equipment, and service records.
  • Schedule service appointments and coordinate workflow with the Service Manager and Shop Foreman.
  • Proactively contact customers regarding preventative maintenance, equipment inspections, seasonal service programs, and recommended repairs.
  • Follow up with customers after completed repairs to ensure satisfaction and identify future service needs.
  • Coordinate communication between customers, Service Technicians, Parts personnel, and the Service Manager throughout the repair process.
  • Submit and track warranty and product improvement claims.
  • Update and maintain equipment inspection agreements and service maintenance programs.
  • Compile service reports and technician efficiency information.
  • Monitor cash work orders and coordinate payment prior to equipment release.
  • Support service promotions and customer outreach initiatives.
  • Maintain department records, filing systems, and office supply inventory.
  • Perform other administrative duties as assigned.

Qualifications

  • General knowledge of accounting practices and basic office procedures.
  • Proficiency in Microsoft Office Products (Outlook, Word, Excel).
  • Effective communication skills in both one-on-one and group settings.
  • Strong organizational skills with the ability to work independently and stay focused on tasks.
  • High School Diploma, GED, or equivalent experience required.

Preferred Qualifications

•    Preferably holds an Associate's or Bachelor's degree.

Compensation

The following represents Brandt Holdings compensation estimation based on market data and placement of internal employees. This is a salary role with a starting base of $52,000 and going up to $58,000 based on experience. This role is also incentive eligible and is based on performance.
